Setting Up a Cleaner Portal: A Step-by-Step Guide

Why WhatsApp-only coordination breaks down

Most Indian hosts run cleaning through a WhatsApp thread. It works at one property. At three it becomes: which flat was that photo from, did she do the Wednesday checkout, why is there no towel in the cupboard, and a scroll through four hundred messages to find out.

The failure mode is not laziness. It is that a chat thread has no state. Nothing in it can tell you "this job is done and verified" without a human reading it.

What a cleaner portal actually is

Review the photos before the next guest arrives, not after they complain. It takes fifteen seconds on a phone. Over a year it is the difference between finding out about the stained pillowcase from your cleaner's photo, and finding out about it in a public review.

One thing to get right

Make sure a missed day does not vanish. If your cleaning jobs are only generated for "today's checkouts" and something goes wrong — you were offline, the system was down — those cleanings should still surface the next day rather than being silently skipped. Ask whoever built your tooling how it handles a missed run. It is the kind of gap nobody notices until the week it matters.
